Requirements and Challenges

Our client was in the process of running a project on Ariba (SAP version of cloud procurement). As the target training group was too big for physical training, they decided on the electronic format of training (eLearning).

The client had the following requirements for the eLearning courses:

  • The courses needed to:
    • Be interactive and explain through screen simulations how to perform tasks within the Ariba system.
    • Allow the user to proceed at his own pace – play, pause, and replay.
    • Have a standalone final assessment, with passing grade of 80% (8 of 10 questions to be answered correctly from a pool of 30 questions).
  • On successful completion, users had to be able to generate an electronic certificate.
  • Only learners who successfully complete the course should receive access credentials to the live system.
  • User reports made available to the administrator should be easy to export to Excel format from the LMS.
  • Original training to be in English. To be translated into Finnish, Swedish, German, Dutch, French, and Italian.

Challenges

  1. The tool was new to the organization and was being customized by the vendor as per the client requirements.
  2. The training had to be developed simultaneously with the customization.
  3. The training had to be launched at the same time as the tool.
  4. There was no SME at the customer end to guide the eLearning development team.

Our Solution

Considering the requirements and challenges of the project, and that the aim of the training was to teach learners how to use the tool, Ariba, we proposed an appropriate pre-during-post training solution.
We designed and delivered simulation-based interactive courses the with the ‘Watch-Try’ approach, for different user groups.
  • A combination of interactive slides was used to explain the concept.
  • Learners were taken step by step through the ‘watch’ slides.
  • They were allowed to experience the tool/system in a risk-free environment (within the eLearning) with the ‘try’ feature.
To meet the requirement of the training program being engaging, motivating, and reusable, we recommended the microlearning strategy. It made training more digestible and would be a good source of reinforcement to learners.

1. Pre-Training

A change management video teaser highlighted the current situation in the company and explained how the new system was going to help users, reduce manual efforts, and increase the efficiency and effectiveness of data.

2. During Training

  • We developed a series of 3 eLearning courses – a total of 15 modules and 1 standalone final quiz.
  • We developed simulation-based modules with a ‘watch-try’ approach for each user role to explain the process steps with dependencies.
  • Each course had a final assessment for each role to capture their understanding and certify completion in order to receive live system credentials. All this was managed through the LMS.                   

3. Post Training

  • Post-performance support material was developed to help learners real-time,
    on-the-job
  • The performance support included well designed QRG documents (step-by-step process documents) for each role. These were hosted on the local SharePoint for easy access.

Result

  • We delivered the courses within 2-3 months with the help of a dedicated team and an agile iterative process.
  • The training was well received by the learners. The client was fully satisfied with the result as it met the goal of training 2000+ learners in one go at their convenience, keeping the interactivity and engagement alive.
  • The learning outcome of the training was that learners were able to seamlessly and efficiently use the tool – Ariba after the training.
    • The teaser set the stage and broke the ice for learners.
    • The modules imparted the required knowledge and working experience with the tool in a risk-free environment.
    • The QRGs provided real-time support without the need for human intervention, eliminating delays.
